5 ways to plan transfers around a small team
A few well-prepared agents need a plan that respects their actual capacity.
Small teams often cover several jobs at once. A producer might also be training a colleague or handling service work. Live transfers add another demand on that shared time. The goal is to buy around realistic capacity, not to let the purchase dictate an unworkable schedule.
Build coverage from commitments
List the hours each agent can reliably answer after existing appointments and service responsibilities. Compare overlap rather than adding everyone’s total weekly hours together. Simultaneous availability matters when several people might call in the same period.
Plan for one person being unavailable
Consider how a sick day or long client appointment changes your coverage. Ask the provider how adjustments can be requested and what restrictions apply. A backup plan should be grounded in supported options, not assumed flexibility.
Keep allocation easy to explain
Use a clear rule that agents can understand and follow. If eligibility or availability affects assignment, make that visible. Complex exceptions are difficult to manage when the person making assignments also has clients to serve.
Protect service time
Do not count the same hour for transfers, policy service, and team training. Schedule those responsibilities explicitly. New conversations should not cause the team to abandon commitments already made to existing clients.
Review handling before increasing volume
Look at missed calls, unfinished notes, and delayed next steps as well as sales outcomes. Those are signs of operational strain. Fix the bottleneck before treating a larger purchase as the answer to every growth problem.
