7 decisions before your first team lead purchase
A new agency needs a repeatable process before it needs a bigger invoice.
The first team purchase sets expectations. Agents will watch how opportunities are assigned, how problems are handled, and what the agency considers a useful result. Decide those basics while the order is still a choice, rather than improvising after delivery starts.
Choose the purchase owner
Name the person who approves terms, communicates with the provider, and receives delivery updates. Keeping one accountable owner reduces conflicting instructions. Other team members can contribute without each making a separate promise.
Choose the first receiving group
Start with agents who are prepared and available for the planned period. Explain how you selected the group. A clear readiness standard is easier to sustain than distributing paid opportunities solely by seniority or enthusiasm.
Define an accepted handoff
Ask what the provider considers a delivered transfer and what information comes with it. Document that definition for the team. Agents cannot consistently report problems if everyone is working from a different understanding of the purchase.
Choose an assignment method
Decide what fair distribution means for your actual operation. It may depend on availability, state eligibility, or another agreed rule. Confirm the provider supports the arrangement before advertising it internally.
Choose a shared record
Set up simple outcome categories and a next-step field. Give the team enough guidance to use them consistently. A small set of useful fields is better than a detailed report that agents stop updating.
Choose an issue process
Tell agents where to report a missed connection or delivery concern and what details to capture. Review the supplier’s deadlines and terms. Your internal complaint process should support the real policy rather than invent a new one.
Choose a review date
Allow time to separate delivery observations from later sales outcomes. Review the operation with the receiving agents before buying again. Document changes you will make so the next batch tests an improved process.
